Print Job Consultation Procedure

State agency customers with a potential printing and/or binding job shall engage Printing and Imaging staff to consult on options/recommendations on the most economical and efficient method by which they can save dollars. The following steps make up the consultation process:

1. Gather the job specifications.

If you have a new potential project the earlier Print Services’ experts are engaged the better the outcome. As opposed to using only internal resources, work with our customer service staff at the outset on job details and they can offer cost effective and timely solutions.

Questions to consider:

  • Is this a new project?
  • What do you envision the final piece to look like?
  • How do you want to get the information to the end user and when do they need it?
  • Who is the end user and does this information contain sensitive/personal information?
  • What do you want the end user to take away from the project? Or how do you want the end user to use the information?
  • How do you determine the effectiveness of the communication?
  • What is your budget for the project?

Note: If you have a repeat job we will look at the feasibility of reengineering the work to reduce printing and/or distribution costs.

Other questions to consider:

  • What has been the vehicle for this information before?
  • Can changes be made to save money and time?
  • What is the end use of the piece?

2. Printing staff reviews the job specifications and identifies potential savings.

This will be done by reviewing each level of the job to determine if there are alternative production options that could lower costs.

3. If job specifications change, an estimate will be generated to reflect these new specifications.

Printing staff will track recommendations for cost savings to be analyzed.
