Attendance, Fee Waivers and Waiting List Policies

Below are the policies for training attendance, fee waivers, and waiting lists for training customers. Please reach out with questions.

Attendance

  1. As determined by the instructor, learners will earn training credit for a DES class if they attend at least 80% of the class. Learners who attend less than 80% of a class will not receive training credit and will be charged the full cost of the class.
  2. Learners who are unable to attend a class at the last minute should notify the instructor and traininginfo@des.wa.gov. If applicable, their agency may then request a fee waiver by following the process outlined below.
  3. Learners who need to miss a session of a multi-day class should notify the instructor and traininginfo@des.wa.gov. Depending on the circumstances, they may be able to make up the missed session with a different cohort and still receive full course credit.
  4. Learners who receive an incomplete will not be able to make up the missed portion at no charge. To earn full credit, the learner must re-register for the class, and the employer will be charged the full cost for each attempt.
  5. Learners who arrive more than ten minutes late to a full-capacity class may lose their seat to an alternate attendee. If the instructor is unable to accommodate the late-arriving learner, they will not be charged for the class.
  6. Learners who arrive for a class in which they are not enrolled must first obtain supervisor approval to participate. The Learning Solutions team will then determine whether space is available. Please note that DES cannot guarantee a spot for unregistered learners and may request proof of supervisor approval.

Cancellation policy and substitute learners

Learners may cancel their registration up to 12 business days before the class start date, either through the WA State Learning Center or with the assistance of their supervisor or agency training manager.

If a learner cancels after the deadline, their agency will still be responsible for the registration feeI, Information about requesting a fee waiver is provided below.

Agencies may substitute another learner in place of the original registrant. To do so, please email traininginfo@des.wa.gov with the substitute's name and email address as soon as possible.

Fee Waivers

Fee waiver requests will be considered on a case-by-case basis. The employer must email an explanation to traininginfo@des.wa.gov within five business days from the start of the class. The email must include:

  • Name of the class
  • Date of the class
  • Learner name
  • Reason for the fee waiver request

Waiting List

  1. A learner is added to the class waitlist when they register for a class that is already full.
  2. Being on the waitlist does not guarantee a seat in the class.
  3. All learners on the waitlist are notified by email if a seat becomes available. The first learner to register through the WA State Learning Center will claim the open seat and will receive an enrollment confirmation. A learner on the waitlist is not officially enrolled in a class and is not eligible to receive credit in that class unless they receive a confirmation email from the Learning Center.
